Refund Policy

This refund policy applies to payments collected for AegisMeetings ("the Service") through Paddle, the Service's authorized Merchant of Record and payment processor, or other payment providers designated by the Service. By completing payment, you acknowledge that you have read and agree to this policy. If anything conflicts with our Terms of Service, the interpretation more favorable to consumers prevails; otherwise the Terms govern.
1. Scope
- Subscriptions: first payments and renewals for weekly/monthly recurring plans.
- Other items or services clearly labeled as paid on the site where consumer protection laws apply.
2. When you may request a refund
- Within seven (7) calendar days of payment (counted from the transaction date on your Paddle receipt or order, or on your card statement; holidays may extend the deadline), if you have not materially used the service tied to that purchase. "Material use" includes but is not limited to: uploading audio that entered transcription or AI processing, reserving or debiting hours linked to that order, or enabling paid subscription features with usage attributable to that payment.
- Where the issue is attributable to the Service (e.g. prolonged large-scale outage, duplicate charge confirmed as accurate), the Service will arrange a refund or remedy after confirmation—via the original payment method or by extending / issuing equivalent hours.
- Where mandatory law provides otherwise, that law applies.
3. When refunds are denied or partial
- Hours already consumed under the plan rules, and completed transcription / analysis, are non-refundable for the corresponding fees.
- Free allowances, trial hours, promotional gifts, or items marked as gifts are not refundable.
- After seven days with material use, the Service generally does not accept refund requests unless required by law or announced otherwise.
- The Service may refuse refunds for reasons attributable to the user (e.g. suspension for Terms violations, bad-faith disputes, false claim information).
- Payments through unauthorized channels or disputes already in the card network's process follow that process; the Service will provide necessary information.
4. How to apply and timelines
- Email [email protected] with subject "Refund request" and include: registered email, order or transaction ID (if any), payment date, reason, and any other information that helps with review.
- After receipt of complete information, the Service will reply by email within 7–14 business days. If approved, refunds follow the original payment method; posting times depend on Paddle, your bank, or the processor (often additional business days).
- Card refunds may appear as statement adjustments, not a separate deposit—confirm with your issuer if needed.
5. Subscriptions
- For the current paid period, fees for service already delivered (including plan hours already credited) are generally not refunded on a pro-rata basis, except where section 2.1 applies (within seven days and no material use).
- Downgrades or termination under the Terms are handled as stated in the Terms and on-site notices, together with this policy.
6. Changes
This policy may be updated for legal or operational reasons. Updates will be posted here with a revised date; where your material rights are affected, notification will be provided as described in the Terms.
