Terms of Service

Welcome to AegisMeetings (神盾會議, "the Service"), operated by the AegisMeetings team ("we," "us," or "our"). By completing registration, signing in, or otherwise using the Service, you acknowledge that you have read, fully understood, and agree to be bound by these Terms of Service ("Terms"). If you do not agree to these Terms in whole or in part, please discontinue use of the Service immediately.
1. Service Description
- The Service provides meeting audio upload, live recording, speech-to-text transcription, AI-powered summary and analysis, and transcript management.
- All data within the Service is protected by a mandatory device-bound encryption architecture. This is a core security feature, not an optional setting — all meeting data (including transcripts, summaries, key points, action items, and audio files) is stored in encrypted form, with decryption keys bound to your authorized devices. Audio (whole uploads and live chunks) is encrypted in the browser and written directly to Microsoft Azure Blob Storage using time-limited SAS tokens; it is not staged as plaintext on Web/API VMs. Transcripts, summaries, highlights, and todos are stored as a sealed bundle in Azure Blob; the database stores only pointers and integrity metadata (e.g. path, length, SHA-256) for retrieval and local decryption on your devices.
- As a direct consequence of this encryption architecture: if you lose all authorized devices, we will be unable to recover any of your meeting data, including text records and audio files, under any circumstances. This is an inherent characteristic of the security design, not a service deficiency, and does not constitute grounds for a refund.
- "Honest Processing Window" is a term coined by AegisMeetings. It refers to the only unencrypted operational period from when the audio file enters the encrypted computing environment until its physical erasure. During this period, data flows solely within memory, keeping the process transparent and leaving no trace. Speech recognition and AI analysis require your audio to be briefly processed on our servers during this window; plaintext is not retained afterward, and all outputs are stored encrypted. The Service does not claim to provide end-to-end encryption (E2EE).
2. Account Security and Device Management
- The Service employs a mandatory device-bound encryption mechanism. Your data decryption keys reside solely on your authorized devices. Our servers do not hold, store, or have any means to access your private keys.
- Critical and Irrevocable Warning: If you lose all authorized devices without having previously registered backup devices, no party — including the AegisMeetings team — can recover your meeting data. This situation does not qualify for a refund. You assume full responsibility for risks arising from device loss.
- We strongly recommend registering at least two backup devices before active use of the Service, to mitigate the risk of permanent data loss.
- You must not lend, transfer, or share your account with any third party. You are solely liable for all losses and legal consequences arising from unauthorized use of your account.
- You must notify us immediately of any unauthorized account access or security concern.
- To protect system security and guard against fraud and malicious activity, we may create technical records related to abnormal or suspected abuse and retain them long-term or indefinitely, as further described in the Privacy Policy. Such records are handled separately from routine service logs and do not include your meeting content (audio, transcripts, summaries, etc.).
3. Acceptable Use
- You warrant that all audio files you upload are lawfully obtained or explicitly authorized by the relevant rights holders, and comply with all applicable recording laws in the Republic of China (Taiwan) and your jurisdiction.
- You must not use the Service for any unlawful purpose, including but not limited to: unauthorized recording, invasion of privacy or defamation, distribution of unlawful or hateful content, or any act in violation of copyright law.
- You must not interfere with, disrupt, or attempt unauthorized access to the Service's systems, databases, or other users' data.
- If your account is found to involve any of the following, we reserve the right to suspend or terminate the account and related services without prior notice, and shall bear no liability for damages to the user as a result:
- Any violation of these Terms;
- Fraud, bad-faith refund requests, unjustified chargeback disputes, or other abnormal payment activities;
- Malicious attacks against the Service or other users, unauthorized access attempts, or abnormally high usage that impairs service performance;
- Suspected account compromise by a third party, or any circumstances posing a threat to the security of the Service.
Such suspension or termination shall not prejudice our right to seek compensation for damages under applicable law or these Terms.
4. Pricing and Refunds
- The Service offers free and paid plans. Features, time allowances, and pricing are as published on the website and are subject to change.
- Billing region and displayed prices: Currency and amounts on the pricing page depend on your billing region (e.g. New Taiwan Dollar in Taiwan, US Dollar elsewhere), not on your chosen interface language. The billing region is determined from a country/region code inferred at connection time (for example, a country code header from our CDN based on IP). The pricing page states this. The amount and currency charged are those shown on the Paddle checkout screen.
- Paid plans are prepaid and processed through Paddle (Merchant of Record), or other authorized payment processors designated by us.
- Refund Policy: Full refunds may be requested in writing within seven (7) days of purchase, provided less than 10% of the plan's total allowance has been consumed. Requests beyond this period or usage threshold will not be accepted.
- Complimentary hours, promotional hours, and trial hours are non-refundable under any circumstances.
- Non-Refundable Circumstances: Data becoming irrecoverable due to loss of authorized devices, or account termination due to violations of these Terms, do not constitute grounds for a refund.
- We reserve the right to adjust pricing (including display or checkout prices by billing region). Material price changes will be communicated in advance via email or in-app notification; active plans will not be affected during their validity period.
5. Disclaimers and Limitation of Liability
- We make reasonable commercial efforts to maintain service stability; however, the Service is provided on an "as is" and "as available" basis without any express or implied warranties regarding continuity, error-free operation, or absolute security.
- AI-generated summaries, key points, and action items are machine-produced and may be inaccurate or incomplete. They must not be relied upon as official records, legal documents, or evidence of any legal effect. Users should independently verify all AI-generated content.
- Transcription accuracy is affected by audio quality, accents, background noise, and linguistic complexity. We make no guarantee of any specific level of transcription accuracy.
- Permanent data loss resulting from a user's loss of authorized devices does not constitute negligence or breach by us; we bear no liability for such loss.
- We shall not be liable for service interruptions or data loss caused by force majeure events, including but not limited to natural disasters, war, governmental actions, or large-scale cyber attacks.
- To the extent permitted by law, our total aggregate liability to any user for any cause whatsoever shall not exceed the total fees actually paid by that user in the twelve (12) months preceding the event giving rise to the claim, and in no event shall exceed NTD 10,000.
- We shall not be liable for any indirect, incidental, punitive, special, or consequential damages, regardless of whether we have been advised of the possibility of such damages.
6. Intellectual Property
- Copyright and intellectual property rights in the meeting audio files you upload, and their derived transcripts and summaries, belong to you or the original rights holder. We make no ownership claim.
- We will not use your meeting content to train artificial intelligence models, for external marketing purposes, or for any purpose not directly related to providing the Service.
- All software, interface designs, trademarks, logos, and related technologies of the Service are our intellectual property and may not be reproduced, adapted, or distributed in any form without prior written authorization.
7. Amendments
- We reserve the right to amend these Terms at any time. Amendments materially affecting users' rights will be communicated at least fourteen (14) days before taking effect, via email or in-app notification.
- Continued use of the Service after amendments take effect constitutes acceptance of the revised Terms. If you disagree, please discontinue use before the effective date.
8. Governing Law and Jurisdiction
These Terms shall be governed by and construed in accordance with the laws of the Republic of China (Taiwan). Any disputes arising out of or in connection with these Terms shall be submitted to the Taiwan Taipei District Court as the court of first instance, unless otherwise mandated by applicable law.
